Hi guys, I am moving our conversation over from the New Jersey thread to here for the sake of others seeing that we are meeting up on this day.

When?
OCTOBER 31'st (Halloween) around 12-1 pm. Ending...Whenever everyone goes home? :p Most likely at least 4-5 hours or more depends how much fun everyone is having.

Where?

Donaldson Park in Highland Park NJ, it is about an hour from North Jersey/The George Washington and is pretty centralized/easy to get to.

We will be meeting at this little hut thingy near the bathrooms.

Parking?/Costs/Do I need to spend money?

Free parking all around the park and no entry fee to get into the park. As long as we don't set anything on fire and as long as we don't exceed 100+ people we do not need a permit (we called and asked) to use the property on this day.

Mass Transit?

The park is literally like, right across the river from the New Brunswick train station (Northeast Corridor Line), so that could potentially be an option for some people lacking cars (also means people in NYC have rather easy access if they want to attend as well). Granted it's still about 2 miles to the park, but it's probably much simpler to coordinate picking up other cosplayers from the train station than driving to individual houses.

So if you just need to be picked up from the train station let us know and we will have someone who knows the area drive over to pickup those who need it.

Should I bring anything?

Yes! BUT NO ALCOHOL (we will get in trouble with the county/town if there is even a single beer can)

We need

-Frisbees, board games, card games, we will try and organize some fun group events but we really want people to socialize and meet new people, nobody organizing this event really knows each other personally so don't worry about cliques and what not, we all just want to have some fun and meet some new people, so bring some stuff to help break the ice!

-Any kind of food/drink for yourself/others try and bring at least one bag of chips + your lunch, cookies, one of the 99 cent "Blue" soda containers, whatever you got around the house that you think would be nice. In general I'm hoping that each group brings at least one thing and that should make sure nobody passes out from hunger or thirst.
(I plan on making a cake of some sort as that is sorta my profession, and if I don't get around to a cake I guarantee I will at least bring some hand made chocolates)

-Things to sit on, the ground may be wet so a plastic sheet, blanket, whatever you want to sit on, they have picnic tables but again they might be a bit damp so you want something to sit on either way.

Most of us don't! Bring a friend and remember that social events are what you make of them. We won't force you be social but we do have plans for some games that will hopefully help the more introverted feel like more of a part of the group

Sooo What if it rains?

Unless it is raining insanely hard to the point where it is dangerous to drive, I will at the very least be heading down there with an umbrella, as you can see in the picture there are places to hang out with a roof so if theres not an insane number of us we can just hangout under that. So more or less rain or shine.

So do I have to cosplay?

No you don't have to but it is encouraged and we would love to see even the simplest outfit you have. (I will most likely be going as a black mage)

I can bring friends right?

Yes of course! We want to see as many friendly faces as possible, just remember that while at the park to remain respectful of the public property and do not do anything to damage it. We will not be held responsible if your friend climbs a tree, sets it on fire, and causes the fire department to show up.

But I don't have a ride!

This is a pretty localized event, (though you can come from as far away as you want), so I am sure somebody coming lives near you and might be willing to give you a ride (remember to help pay for gas :p) So just drop a line in here and see if anybody can pick you up.

My cousin is going to school to be a chef, so I am going to his house the night before the picnic and we are going to make things to bring with us for the picnic. So that will be our contribution.

Anyone else want to chime in? We'll need drinks, candy, some sort of food with some actual substance, plates, cups...

Anyone who doesn't think they can provide much/anything just grab a bag of chips or soda you can never have too much of that.

Actually, I just remembered my specialty is tamagoyaki, so I'll be making some of those (amount will vary depending on the relative RSVP count), and cupcakes will depend on how much extra time/money I have. ^^

Also, I'm definitely picking up some basic liquid soap for use in the bathrooms~ >D Last thing we need is everyone coming down with a case of picnic flu or something. X3

That sounds good. He's a pretty good chef, so I'm sure he'll come up with something crazy for the cake. Hopefully my icing drawings will do it justice.

Oh man! I'd love to go but I have a halloween party to take my daughter to.

Shame too because I keep sports equipment, board/card/rpg's, r/c helicopters and other fun-for-the-park things in my car.

Have a laptop filled with Anime and a separate speaker/subwoofer setup in my car as well for the 4-H anime club I run.

Just on a side note

Do you think we should get a permit of some sort to be safe? I don't quite know that town's policy on gatherings and would hate to get in trouble. Also what time does the park close?

I'd suggest looking into the township's ordinance concerning a gathering.

Recently a friend was ticketed by the police and had to miss a day's work to appear in court for..... bum bum bum... failure to get a permit for a yard sale.

But there's tons of picnic that are happening I don't see why you would need a permit unless there's like a huge event going on with bands and stuff lol.

I doubt we would get a ticket but we might get scolded and asked to leave or something and this wouldn't even happen unless we had 50+ people as that is legally a "gathering" and thus needs some sort of notification to the town.

Either way I don't see us getting in any form of trouble but a little research into the proper procedure just incase we have a large turn out would be prudent.

But you don't want to be asked to leave. Because that would be a failplay picnic. Either way you want to be the one when the cops come by to try and kick you out because another group comes to the park complaining. You have the permit and they don't ;) So they have to live with it, leave, or you complain they are a large group and have to leave.

$50 bucks for less than 99 people.

And if some people want to legally drink in the park with beer/wine. Tack on $35.00 to legally drink in the park.

And no alcohol nobody wants to be held responsible for anyone getting drunk and doing something stupid.

Ok it says you have to be a resident of the area and pay 50 but if your not a resident of the area its 100 bucks lol. So it has to be someone from the resident. I will donate $20 or so but who's receiving it thats the question.

Hey all, I've made some arrangements so I can attend!

I'm not trying to take over or anything but I've done a lot of organizing (YMCA - 4H - Live events for various MMO's In which I was the guild leader <grins>) so I have a few comments/suggestions based on ideas that worked for me in the past to help make this happen and maximize the fun.

1)Printable directions to the park from North and South Jersey, New York and P.A.
I realize people can just mapquest it but I usually procrastinate and don't think about directions until I'm about to head to an event. The more work that is done for the participants ahead of time the more likely they are to come. I can write this up and post it.

2)A printable map of Donaldson Park with a big green X showing the park entrance(s), a big blue X showing the parking lot to park in and a big red X where we are to meet. I can photoshop this and post it.

3)A list of who plans on bringing what - already thought of, good job!
I only see 6 persons listed though, 7 including myself. We need more!

4)Securing a permit. It's $50 for a resident of Middlesex County and $100 for a non-resident.
I'd like to see 20+ people attending so if we base our calculations on 20 that would be $2.50 per person or $5 per person. Not a bad entry fee for a Halloween picnic at all. If an adult resident of Middlesex County is willing to secure the permit that would be great. The person who secures the permit needs to attend the picnic though. I'll put up $20 to help secure the permit initially and they can give me back $17.50 after everyone arrives and chips in. I'm sure others will do the same. Oh and I agree no alcohol - a separate permit would be required, liability, etc.

5)Backup plans. If it rains and is miserable it would be good to have an alternate location to meet. I suggest the Wegmans grocery store in Woodbridge about 8 miles North of the park... A grocery store?!?!?!
Yep, Wegmans has a HUGE upstairs seating area for their food court which can seat at least 100 people. I used to belong to a boardgame meetup group that met there with about 20 people. No permit or permission needed, they were happy for the business as we inevitably went downstairs to buy food - which was quite good by the way. I have a ton of boardgames so we shouldn't lack for something to do.
Any alternate backup locations you can think of?

6)Who can attend?Can our non-anime fan significant others/kids/friend-whom-you-are-trying-to-get-into-anime attend as well?

7)Wish list. What would you like to do? To watch? I have a laptop filled with Anime and a speaker system so assuming there is an outlet we can watch something. This is our picnic so what would you all like to do? Normal park picnic stuff? Anime or Japanese themed activities? I have a bunch of Origami paper, we could have a 'speed origami' contest. I have a prize wheel so we could spin for pocky prizes. Trivia? Cosplay baseball game where we use our character's anime powers to break the normal game rules... help me out here. :)

Heh I grew up in Florida. So many conventions down there because the state's so spread apart. And seeing that's miami. Miami's a different state than the rest of florida ;).

But back to the meet thing.
I'm glad the host understands the word permit ;). Lets try and get a count of how many people lets say within the next week are fairly sure they'll make it. So within reason you can judge if it worth the phone call and fees.

I think i know a few people that might live in morristown. I'll go ask them now. They'll be up for a cosplay picnic maybe.

1. Right now I know we are meeting that gazebo but I am not quite sure where it actually is in correlation with the park, the ones who took the pictures would be able to supply that info.

2. Again, the people who actually scouted it should be able to provide a map.

4. Still waiting on someone who lives in that county to step up.

6. Bring anyone you want just make sure they don't set anything on fire or make an obscene amount of noise/commotion.

7. Games/events are something we still need to think of and I encourage anyone to try and think of activites. As far as anime to watch a movie or a comedy anime that everyone knows like Haruhi is always good.

Nobody is really "Leading" the event I just put the post together so I encourage anyone and everyone to come up with ideas and take charge when they feel it is appropriate.

Back to topic, I hope that I could possibly come since it sounds like it would be different and enjoyable. I will try to look around and maybe even meet another for a possible ride, and the timing is perfect given that the event is on a Saturday. Then again, I do not want to burden anyone with a ride there and back to Manhattan, so that may be a bit of a problem for me personally.
Should I go, I would be glad to bring something for us to either eat or something we actually need, yes? :D

I believe the $100 permit actually DOES cover the obscene noise and/or commotion but draws the line at shenanigans or chaotic hubbub, so as long as we steer clear of that we'll be fine. :)

7. Games/events are something we still need to think of and I encourage anyone to try and think of activites. As far as anime to watch a movie or a comedy anime that everyone knows like Haruhi is always good.

Haruhi sounds good. I just picked up Sergeant Frog english dub at the NYAF so that's also an option. I'm thinking a dub is best since we can't all get close enough to a laptop screen to read subtitles. Maybe if the weather is nice I can be convinced to bring my 32" LCD.

I might be able to bring my dad's projector (permission and weather pending), but I don't own/have a portable backdrop. With it, we could easily have a mostly clear, 10'x10' screen for viewing.

If there is any way for you to grab a train to the Matawan-Aberdeen station, then I could pick you up no problem! It's literally a minute down the street from me! I'd be more than willing to drive you back and forth from the train station to the gathering. I know you mentioned you're coming from Manhattan, in which case I know there's a train that runs from Penn to Matawan-Aberdeen as I took it this weekend. It's about an hour ride.

Person count

I will have two people with me, so please count me as three people

Alternatives

I like the Wegman's idea. The only hesitation is how long they'd let us hang out there. People who live in that area, is there anywhere else we could go if we needed to?

Permit

I can definitely contribute toward it.

Things to do

I have CDs, so if you have speakers I can provide music. Most of it is Japanese rock of some sort. I would also encourage people to bring their DS's.

Who can come?

I agree that whomever wants to come should be welcome. Siblings, spouses, non-cosplayers. Anyone who wants to hang out should be welcome I think. But please encourage them to contribute something. The more people we have, the more food and such we need. So if it's only the people in this thread bringing food, we WON'T have enough. If your friend/sibling/whatever wants to come, please tell them that they need to contribute something, no matter how small.

People from NYC (or other parts of NJ) could also take NJ Transit down to the New Brunswick station, which is close to where Donaldson Park is located (1.6mi) so I wouldn't have a problem making several trips to pick people up from there and dropping them off at the park.

I'd probably be able to come! I don't own any board games or anything like that, but... I can bake cookies or something. Or I could do something less dessert-y if you need more of that.

I could also possibly pick people up from the train station (I have a car which can fit 3-4 people besides the driver) but on the other hand, I've got a really lousy sense of direction, so that might not be such a great idea. Unless people don't mind a bit of driving around in circles, that is.

Another thought: It was 62 degrees today, how cold will it be by the end of October?

Will a picnic be fun if it's cold?

My local YMCA rents their gym space (with tables and chairs) for $60/hour but I get it for 40-50 since I'm a coach.

I could check for a local Y and see if they have space to rent - it could be like a mini-con.

About the weather. We'll find out later on in the month. Last year it was really warm for that weekend. MangaNext was in the same exact area. I brought a heavy jacket because it was cold the day before the con and never needed it because it warmed up during the day.

The YMCA's an interesting idea but trying to keep the overall cost low for a meet-up in less than a month would be ideal. As the term no-show always wiggles its way in the picture.

I might be able to bring my dad's projector (permission and weather pending), but I don't own/have a portable backdrop. With it, we could easily have a mostly clear, 10'x10' screen for viewing.

I can bring a power strip, but I can only supply one since I only have one extra ^.^;

I found a projector type screen thing for the projector. I just need something to hold it up (its actually a curtain I am using my black mage cosplay but the thing is huge and will work the same way)

Unless you have a wall to hang it on. Its hard to hook. Unless we get to take over one of those cover picnic table sites. In which the easiest way to hang up a sheet it to tie a rope between two of the poles and hand the sheet from it. just make sure the curtain isn't shiny or plastic. Or it'll be a bad projection surface.

If needs be I can drag a projector. But i'm coming by train from NYC.

I'll also bring my last few cans of Brawndo, The Thirst Mutilator. So people can taste what plants crave.

Well let's see~, I can get to NY Penn Station and Port Authority of course, but from there I am seeing which way I should take. I honestly can't tell you much because I'm new here and don't know the area well. I can tell you I live right down the road from the GW Bridge. The bus to get here from Port Authority is the 159, and whenever you get back there are busses leaving to go back to Port Authority that I can drop you off at. I would like to avoid driving into the city just because of the tolls and it's pretty much hell.

wisecraxx I'm also coming from Manhattan.

As mentioned earlier the easiest/fastest way is to use the NJT Northeast Corridor line to New Brunswick. About $10 bucks each way.

So in the morning. It looks like. They have a train once every half hour Before 11AM.
And on the way back After 4PM and before 8PM one every half hour or so also.

New Brunswick is much closer to the location.

Checking out the map to the train station in New Brunswick, it doesn't seem like it would be too difficult to pick you up or drop you off there since it's only a very short distance from the park. It was nice meeting you too at NYAF! I hope you had a good time. :'D

I don't mind bringing some soda and maybe even home-baked goods should I have the time aside from my part-time job and school work. =D

Ok cool. It might just because its halloween also. On larger holiday's its the same deal with Central Park NYC. They don't give them out unless you're a large corporate event that's sponsoring the park.

Soo.. If anyone lives in the area if they can drop by and see if there's a working electrical outlet by one of the covered picnic tables.

No electricity = no projector = no reason for anyone to plan to bring one.

Woo, it's nice to hear that we don't need a permit. :} I'll make an effort to walk out there and test out the outlet in the brown gazebo between classes tomorrow, but no guarantees. ^^; If I'm too swamped tomorrow I'll try to stop by on Sunday instead (going to a childbirthing class on Saturday...XD)

Though, to be honest, I'm not too big on the idea of setting up a projector to watch anime with...I kinda feel like since it's a picnic meetup we should maybe be a little more interactive with each other. XD; Playing music and such would be a great addition, though. :}

Also, one of the Rutgers anime clubs is currently planning a minicon (I think it lasted 2 partial days last year) sometime in December, so just throwing that out there. I realize it won't exactly do much for the people who have issues with traveling to the Halloween meetup since it's basically in the same general area, but ish. ^^;

Alright guys, so I finally went back to the park today with my laptop...and none of the four outlet plugs seem to work. =( *tried hitting the reset buttons multiple times and such* There was a rather large screw at the top of the outlet box but I didn't bring a screwdriver along, so I don't know if maybe there's a hidden on/off switch in the top of the box or if we're even allowed to be digging around and tampering the outlets, anyway...XD;; So that's kind of a bummer...I did take a look in the bathroom next to the gazebo area and it's very similar to the one that I got photos of last time, though.

Also, I can now say from personal experience that it's approximately 30-35 minutes to walk from the New Brunswick train station to Donaldson Park. XD So in the off-chance that anyone decides to attend last minute and doesn't have a ride arranged it's definitely walkable as long as you're not carrying a huge pile of stuff.

Speaking of picnic food, has anyone considered sandwiches? Maybe we could split up bread, cold cuts, cheese, etc. among a few people and everyone can just make their own sandwiches at the actual picnic and they won't be soggy from being premade hours before...

Too bad about the outlets. We pretty much have two options now:
1) All electric items need to be battery powered
2) Someone offers or is willing to obtain a portable power generator (2000+ Watts?)

Unfortunately, we wouldn't be close enough to the parking lot. Otherwise, I have a car power converter that could help us out a bit... or someone might know someone that has a modded car with a big stereo system installed to take the place of a boom box.

Here's the temperatures in nearby newark on Halloween the past 4 years:

2008 50 degrees
2007 54 degrees
2006 57 degrees
2005 56 degrees

Not sayin' we shouldn't do it, just don't wanna go and have everyone leave after the first hour on account of it being cold.
Last year it was 50 degrees, that's just 10 degrees warmer than a refrigerator. :skidude:

I doubt they'll let you run a generator in the park. So lets say scrap the projector idea.

Yeah its getting colder being woken up to the heat pipes in my apartment knocking away from being turned on. I even thought about propane heaters ;) then i let that idea burn away.
Check Somerset, NJ temps. They show up a little warmer. I just remember last Halloween was warm for MangaNext in the same area. This year's weather is a little funky so i can only hope for the best.

By the way the weather has been recently, I would expect something in the colder range. So, heavy jacket or cosplay would probably be best.

Maybe we can contact the county again and see what they say about the outlet, whether it is broken or is just turned off and if it's the latter, if they can turn it on for us.

Especially when I start walking. I think if we don't just sit in one spot staring at each other we'll be ok.

Well, if it really does get way too cold OR if it rains we could always pile into the cars and head over to the Rutgers Student Center atrium on College Ave (about 3 blocks from the NB train station). There are plenty of tables there and since it's the weekend any sort of patrolling on the parking deck right across the street will be pretty much nonexistent. I would suggest that over the Wegman's, as traffic going anywhere near Woodbridge is terrible, and moreso on weekends.

Otherwise, people should be fine as long as they don't come in anything too skimpy and bring a coat or some sort of blanket (maybe like one of those little square fleece ones). And also, I've personally been away on fencing tournaments for Halloween weekend the past two years, but there are notorious stories about how swarms of drunken college students parade around the campus area in basically lingerie, sooo...^^;;

As for the weather, I believe that should it get too cold even while in cosplay that we should head inside somewhere as Elderberry suggested, since I do not want the fun to end early because of low temperature.

Ebi: That was pretty much the Halloween up in Boston... where it's colder. I was hoping it was because we also celebrated Zombie Day where everyone dresses up as a zombie and "terrorizes" the Boston area.

And yeah, I third the RSC as a backup. If that's the case and you're taking the train, it's not that far of a walk from the train station (slightly longer than driving, but less annoying and more efficient). I'd be willing to walk people from the train station to the RSC if needed.

The only downside with the student center is that there's really no guarantee that we'd be able to snag all the seats/tables we need right next to each other (and obviously we wouldn't really be able to run around screaming and laughing and throwing frisbees like we could in the park), but the atrium is generally much less crowded on weekends and would make for an adequate inclement weather backup. It's a 10-15 minute walk from the train station in the other direction from the park, although I've gotten there by running in like 5. XD;

Not really. It would be a little early, I guess, but it's still Halloween. Besides, Rutgers has seen stranger things. If I remember correctly, RU holds the world record for the largest gathering of Waldos and Ninja Turtles.

RSC's first floor doesn't get that much traffic unless there's a class or event going on (has enough space to throw a frisbee around, though I don't know what the faculty would think of that). The atrium, though, might be a little crowded.

I got told about this by souenkyo, and I'm thinking about attending... Only problems are that I was supposed to take my little bro treat-or-treating starting at noon on Halloween, and then I'm supposed to be in the city by 5 to meet a friend who has to be back home in NJ by 6 and then to go to the parade...
Right now I'm trying to figure out how to fit everything- this included- into my day, so I don't wanna say yes and sound like an ass yet again. ...Because there's always some kind of freakin' chaos going on in my life. But you guys rock for hosting this, and I'll try to be there and bring stuff. :)

Just took a look at Weather.com's 10 day forecast. Looks like it might be a little wet on Halloween, but more likely than not, it'll probably just be cloudy for most of the day. However, I don't think we've decided on a back up location yet in case it turns out worse than expected.

Ah I just looked at the maps to get a better feel for the place. Microsoft Aerial map Makes this place look depressing in the winter. Brown grass and dead looking trees. And on google maps it looks like one of the parking lots is flooded with water when its picture was taken in the warmer weather.

So hopefully the water drains off fast into the river.

Ah my bad I was checking Bergen county, looks like it will be sunny during the day and rain later on at night according to what I am seeing and even that isn't a 100% chance or very heavy rain. Either way shouldn't be a huge problem.

I also just finished up my homemade chocolates; so far I have caramel chocolate pecan turtles, white chocolate cashew bark, and milk chocolate toffee with some sort of nut on them (sorry if you have a nut allergy anyone >.>)

Also make sure everyone brings a board game/a deck of cards + any other fun things like Apple to Apples and other games that are good for larger groups of people.

@Xaevier: I can totally relate, I'm still not done with my Kenshin cosplay (and it's not even a complicated outfit in my case XD;; ). If I don't finish the kimono in time I'll probably just cop out and throw together OAV/Battousai Kenshin with random stuff I have lying around instead...

Okay, as of right now I am definitely bringing plastic cups, forks, spoons, napkins, and blankets. I am going to bring two pies of pizza (not entirely big, but tasty nonetheless) HOWEVER, they may possibly get a little cool by the time I get there so let's hope that doesn't happen!

All I know is after all the fun is done, I'm going to avoid taking much back home. XD

Tomorrow's weather is looking okay. It'll be cloudy, humid, and cool, but at least it won't be raining. The ground will probably be a little damp, though, so if you plan on running around (ie frisbee), might want to choose something you don't mind getting a little dirty or maybe even a change of clothes if things get bad.

Otherwise, everything seems to be set. I might be a little late, but I shouldn't arrive later than one.

For those of you bringing hot foodstuffs here's a suggestion for keeping food hot:

Wireframe with an aluminum tray and sterno underneath.
I'm sure you've seen them before.
I've seen them for sale at grocery stores such as Wegman's Woodbridge but better yet (if you can find it) i've seen smaller versions at dollar stores.

I was Mr. Chan from Black Lagoon for a few minutes before taking a few layers off because it was way too warm. Glad to meet a few people from here.
